Our rental rates are based on a five-hour event. You may schedule your function anytime from 10:30am to 11:30pm. Events less than 5 hours will be quoted on an individual hourly basis.

Monday – Thursday: $1,100.00
Friday: $2,800.00
Saturday: $3,800.00
Sunday: $2,500.00
   

Non-peak months (January, February, July, August) are quoted at a lower rate of typically 15% off the facility rental fee (holidays excluded).  Additional facility rental time (anything over 5 hours) may be purchased in advance at a rate of $250 per half-hour and $350 per hour.

The Rental Rate Includes:
  • Event coordination and planning from contract initiation up to day of event

  • All silverware, china and stemware

  • All dining and reception tables and chairs

  • Two cake tables and complimentary cake cutting service, which includes china and silverware

  • Large dressing room for the bride and groom both with private bath available one and a half hours before event

  • A Full Service Event which includes set-up and breakdown by the staff outside of rental time

  • Complimentary one hour ceremony rehearsal time with prior arrangement by Hamilton Twelve coordinator

  • Ceremony Seating

  • Complementary on-site parking with parking attendants

  • Time for an event photo shoot with prior arrangement by Hamilton Twelve coordinator

  • Easel to display your portrait at reception

  • Children’s nursery with a TV and DVD player

  • Complimentary gourmet coffee service

  • Wood-burning chimanayas with complimentary firewood

  • Vendor deliveries or set-up are allowed up to two hours prior to the event start. Early vendor arrival and set-up available upon request

  • Numerous other amenities designed to enhance your event or reception

 



POLICIES:

Reservations, Deposits & Forms of Payment:
To reserve a date requires a non-refundable deposit of 30% of the estimated contract price. An additional 30% deposit is required 90 days prior to the event with full payment due at the time of guarantee.  A $250.00 refundable damage deposit is also required to ensure that all terms of the contract and the Event Terms and Policies are met. We accept MasterCard and Visa and personal checks for deposit.

Culinary Offerings:
Our professional in-house team will work with guests to create the perfect menu. The cost is based on a per person quote.

Labor Cost:
The staff’s greatest interest is in providing outstanding food and ambience for your special event. Our professional staff is available for every occasion. The cost is calculated on the needs of the event and will be offered in a quote. A customary 20% gratuity will be added based on labor cost.

Alcohol Service:
Hamilton Twelve offers our clients the option to provide their own alcoholic beverages or use one of our many preferred beverage vendors. A bar set-up fee is applied which includes all mixers, sodas, fruit, beverage napkins, straws, glassware & ice. All staff bartenders are TABC certified.

Parking:
We have parking for up to 70 cars and provide an attendant to direct traffic. Valet services are available by quote.

Other Expenses :
Wedding Ceremonies – There is no additional charge for the Wedding Ceremony. We provide complimentary row seating for up to 135 guests. Additional chairs may be rented. A wide selection of linens are available for your event. This cost will be estimated in the proposal and contract. Final linen costs are dependent on your final guest count and seating needs. All tables are draped.

Coordination Services and Fees:
A detail description of the coordination services will be sent with your contract. The facility rental rate includes a 2-hour meeting with The Hamilton Twelve staff to help you plan your event and menu. E-mails, phone conversations, vendor visits and numerous other consultation services are included.  A timeline coordinator will be on-site to work with vendors, clients, bride & groom, and wedding party from first arrival through departure.  This cost is $275.00.  A detail description of these services is available and included with your contract.
